Position Opening: Events Coordinator Position (part-time, temporary)

Location: Undergraduate Program Office, College of Management, Georgia Institute of Technology, Atlanta, GA

Hiring rate: $20/hour

Position start/end dates: This temporary position will start on November 28, 2011 and is part-time. The offices expect that the selected employee will work 16 hours per week (2-3 days per week) for the first three weeks in the position. After that, the employee will work 24 hours per week, approximately 3-4 days per week, until the anticipated position completion date of May 4, 2012.  This position is substituting for a staff person taking maternity leave. The person in this position will need to attend weekly Monday 6-7 p.m. student organization meetings and work five Friday evening scholarship events. 

Department Description: The Georgia Tech College of Management Undergraduate Program Office provides academic and career advising and support to approximately 1400 undergraduate business administration and management majors. The ten staff members who comprise the Undergraduate Program Office team work closely to assist students with setting and meeting academic and career goals. The office also coordinates freshman recruiting programs to recruit top high school students to our undergraduate program. College website: http://mgt.gatech.edu/

Job Description: This position will interact with current CoM students, prospective CoM students and their parents, staff within the CoM and the GT Office of Admissions.  This position is self-driven and independent, but also works closely with the Undergraduate Programs Office Staff.

Job Duties:

1. Manage recruiting events: Such events include the CoM Scholarship Interview Nights.  Position will: Organize all logistics and communication for scholarship events.  Send all invitations to high school students and their parents. Maintain registration data for all events. Set interview date for guests.  Assign event responsibilities to guests prior to events.  Facilitate last minute changes with guest list.  Communicate last minute changes with Student Ambassadors and Undergraduate Staff. Set group assignments per event for each guest.  Communicate assignments with Student Ambassadors and Undergraduate Staff. Plan catering and space reservations for 5 interview events. Set up reception decorations, directional signage for event. Manage check-in and check-in supplies (name tags, paperwork, school excuse notes, etc.). Track guest attendance and group assignment in a very detailed manner so spreadsheets are correct moving forward in scholarship selection process. Manage Shadow Days, a recruiting event for prospective students that occurs 3 times per term.

2. Manage weekly CoM building tour and information sessions for prospective high school students. Position will: Ensure tour guides are scheduled & tour program webpage is up to date. Communicate information to tour guides, and Director. Download and print RSVP lists weekly. Reserve rooms for information sessions.

3. Correspond with the Office of Undergraduate Admissions and make sure the Business Administration major is represented at every recruiting event by scheduling staff and ambassadors to attend.

4. Coordinate transfer student orientation. Position will: Assign staff to various responsibilities with transfer FASET. Provide all supplies for transfer FASET. Coordinate room reservations.

5. Manage Community Building events. Position will:  Manage Coffee and Donuts, an event for undergraduate students that occurs 3 – 4 times per term. Manage Club Rush, an event for undergraduate students that occurs 1 time per term. Assist front office staff, if time permits and all projects are up to date.

6. Assist with Undergraduate Program office projects and operations. Position will: Coordinate current student ambassadors to communicate with admitted students as part of an overall recruiting strategy. Manage the perspective student e-mail list. Respond to e-mail inquiries within 24 hours. 

Basic Qualifications: High School Diploma/GED or Vocational School Diploma. Two to three years job related experience. This job requires basic knowledge and skills in event management. This includes skills in customer service, organizing, planning and scheduling. Use of business related computer applications is required.

Preferred qualifications:  Bachelor's Degree or equivalent. Experience with event coordination and working with high school or college students. Strong MS Office Word, PowerPoint, Excel proficiency is required and critical to the position, especially the ability to manipulate and update student data in Excel. This position should feel comfortable working with the public and have a high level of customer service in-person and via telephone with staff, student, parents and alumni.  Should be able to communicate effectively, take initiative to identify, report and resolve problems before they escalate. Should have the ability to lift 20 pounds to help move some tables, chairs and other event supplies. Should be able to prioritize work tasks, multi-task and maintain focus. Preference for strong verbal and written communication skills. Willingness to work in a team environment as assist with meeting business needs of the office.
