Welcoming America: Administrative Coordinator (part time, 28 hour per week position)
Welcoming America has a small number of national staff whose primary roles are to: (a)
provide support to affiliates, and (b) strengthen and expand the Welcoming network.
National staff support affiliates by providing intensive training and by facilitating networking

National staff are currently based in the Atlanta, GA metro area and Boston, MA. The

GENERAL STATEMENT OF DUTIES 
Oversees and manages all office procedures and other tasks as assigned by the Executive
Director. Performs varied clerical, accounting, scheduling and human resource activities.
This position requires working 28 hours per week.
Works under the supervision of the Executive Director.
PRINCIPAL DUTIES AND RESPONSIBILITIES 
1. Oversee all aspects of general office coordination.
2. Maintain office calendar to coordinate work flow and meetings.
3. Maintain confidentiality in all aspects of client, staff and organizational information.
4. Monitor and assist with maintenance of the organization’s website.
5. Open, and distribute incoming correspondence, including faxes and email.
6. Sign for and distribute UPS/FedEx or similarly delivered packages.
7. Perform general clerical duties to include, but not limited to, bookkeeping, copying,
faxing,
mailing and filing.
8. File and retrieve organizational documents, records and reports.
9. Coordinate and direct office services, such as records, budget preparation, personnel and
housekeeping.
10. Create and modify documents such as invoices, reports, memos, letters and financial
statements using word processing, spreadsheet, database and/or other presentation
software such as Microsoft Office, QuickBooks or other programs.
11. May conduct simple research and compile data for reports.
12. Set up and coordinate meetings and conference calls.
13. Interact with the organization’s Board of Directors.
14. Attend Board, committee meetings or other meetings as requested in order to
transcribe and distribute minutes.
15. Make travel arrangements for staff, board and volunteers.
16. Collect and maintain inventory of office equipment and supplies.
17. Collect time sheets, and record vacation, sick time etc. for all employees
18. Research, price and purchase office equipment and supplies.
19. Arrange for the repair and maintenance of office equipment.
20. Support staff in assigned project-based work.
21. May supervise volunteers.
22. Other duties as assigned by Executive Director.

Skilled in word-processing, filing, basic bookkeeping and budgeting
Able to make simple computations and tabulations accurately and with reasonable
speed.
Skilled at the use of key computer programs such as MS Excel, Word, Power Point,
etc.
At least some experience utilizing Quick books accounting software
Good writing, analytical and problem solving skills.
Knowledge of principles and practices of organization, planning, records
management
and general administration.
Ability to communicate effectively.
Ability to implement a plan effectively
Ability to operate standard office equipment, including but not limited to, computers,
telephone systems, typewriters, calculators, copiers and facsimile machines.
Ability to follow oral and written instructions.
Possess a general clerical aptitude and basic knowledge of record-keeping.
Provide strong problem-solving abilities.
Maintain confidentiality and discretion as a rule.
Ability to create and follow a work plan.
At least 2 years experience in general office responsibilities and procedures.
Must be computer literate.
Knowledge of principles and practices of basic office management and organization.
Knowledge of the basic principles and practices of bookkeeping.
Ability to work well either alone or as part of a team.
This position is a 28 hr/week, part time. Wage is very competitive in the Atlanta
